Common questions from UK clinicians

Is PatientNotes UK GDPR compliant?

Yes. PatientNotes operates under data processing agreements aligned with the UK GDPR and Data Protection Act 2018. We sign DPAs with practices, support data subject access requests, and process audio data with the lawful basis of legitimate interest with patient consent. Audio is not retained beyond the time required to generate the note.

Where is patient data stored?

PatientNotes hosts in EU and US regions. UK practices can request EU-region storage during onboarding. We do not transfer data outside agreed regions without prior written notice.

Does PatientNotes work with EMIS, SystmOne, or Vision?

PatientNotes generates structured notes that can be copied into any GP system (EMIS Web, SystmOne, Vision). Direct API integration is on the roadmap; today most UK practices use copy-paste or our browser extension.

Is it suitable for NHS use, or only private?

PatientNotes is used by both NHS and private practices in the UK. NHS practices typically run a Data Protection Impact Assessment (DPIA) before deployment — we provide a template and the security documentation needed.

How does pricing work in £?

Pricing is approximately £40–£55 per user per month, billed monthly with no contract. Annual billing offers a small discount. We accept GBP via Stripe at the live FX rate.

Can I generate fit notes (Med-3)?

Yes. PatientNotes captures the consultation and structures the relevant fit note fields — diagnosis, advice, fitness for work decision. The clinician reviews and signs in the GP system.

Does it handle accents and English variants?

Yes. PatientNotes is trained on multiple English variants including UK, Irish, Scottish, Welsh, Indian English, and Caribbean English. Accuracy is consistent across regional accents.
